About the Role
This part-time position (20-30 hours/week, flexible) is based in our central Auckland office, right on the waterfront—close to public transport and the ferry terminal.
As the Executive Director’s key support, you’ll be essential in maintaining day-to-day operations and ensuring deadlines and priorities are met.
Key Responsibilities
- Manage the Executive Director’s diary, schedule appointments, and coordinate internal/external meetings
- Oversee email inboxes, draft and respond to correspondence, and follow up on action items
- Liaise with campaign and fundraising teams to balance priorities, manage workflow, and streamline communications
- Provide backup administrative support to the fundraising team, including data entry, donor communications, and record-keeping
- Proofread documents and communications to ensure accuracy and consistency
- Coordinate travel arrangements and prepare expense reports
- Prepare agendas, draft minutes, and track action points from meetings
- Maintain files, documents, and records using digital tools
- Support special projects and initiatives as needed
About You
- Highly organised: You can juggle multiple tasks and conflicting priorities with ease
- Attention to detail: You catch typos, maintain accurate records, and keep the ED’s schedule running smoothly
- Tech-savvy: Proficient with Microsoft Office (Word, Excel, PowerPoint) and open to new technologies (including AI tools)
- Excellent communication skills: Confident in drafting and proofreading email correspondence, meeting notes, and documents
- Problem-solver: You anticipate needs and take initiative to keep things on track
- Adaptable: Comfortable working in a dynamic environment where priorities can change
- Support for our mission is a bonus, but not essential
